Business Operations Manager – Oxford

We are currently seeking an Business Operations Manager, based in our new office in Central Oxford (with flexibility to work remotely 1 day a week and opportunities to work from our London office when needed). The position is an immediate start.

The Company

Envision is a leading sustainability and energy consultancy that provides specialist support towards sustainability within the built environment. With four directors at the helm, we have experienced a rapid growth over the last few years and are looking to expand our operations team to provide vital support services as we expand further.

Envision specialises in providing end-to-end support to its real estate clients. We pride ourselves on fostering a flexible, creative and fun working environment.

We take pride in our pro-active approach, supporting our clients with close and tailored support. Our pragmatic and hands-on approach means that we are retained by the largest UK property funds, publicly listed developers as well as leading constructors.

Our team (currently 21 employees) is based across two offices, one in London and one in Oxford, where the administration team is based (currently two part time roles).

The Role

This is an excellent opportunity for an experienced Business Operations Manager looking to take the next step in their career. Based in Oxford, you will join our growing team in a new role to lead our admin and finance team. Directly reporting to the Managing Director, you will provide business operations management across both offices.

The role will involve, but will not be limited to:

  • Management of the admin and finance teams, including oversight and direct management of the administrative team.
  • Liaising with the company accountants as needed regarding monthly payroll, new starters and leavers,
  • Arranging payments internally and externally (pension uploads, payroll, suppliers, etc).
  • Liaising with our external HR advisors on all matters to ensure company compliance (e.g.
    visas, company policies, etc)
  • Managing internal staff HR matters (onboarding, travel arrangements, hardware etc).
  • Managing staff training (via Citation online platform and/or external providers).
  • Organising employee satisfaction surveys and reporting (via CultureAmp online platform).
  • Supporting the Directors with recruitment as needed.
  • Overseeing office management duties (both for Oxford and London)
    • Scheduling meeting and appointments within the office.
    • Maintaining condition of office and arranging necessary repairs.
    • Organising the office layout and ordering stationing, equipment and other office
      supplies.
    • Liaising with facility management vendors, including cleaning, catering and security services.
    • Managing contract and price negotiations with office vendors, service providers and office and car leases.
  • Organising standard templates and provide support to consultants for formatting of reports.
  • Coordinating with IT department on all office equipment (new and existing), managing
    software licences, cost negotiations and ensure timely renewal.
  • Preparing quarterly Board Papers and preparing management meeting minutes.
  • Managing Insurance renewals (PI, PL, EL, etc)
  • Managing Cyber Essentials accreditation.
  • Providing general support to visitors.
  • Overseeing the organisation of in-house or off-site activities, like parties, celebrations and conferences.
  • Ad-hoc tasks as necessary to ensure the smooth running of the company.
About You

The successful candidate should be highly motivated, organised and possess excellent communication skills.

Essential Requirements:

  • 6 years’ experience in a similar role within the consultancy sector, preferably in property and
    construction (although applications from exceptional candidates with less
    experience/experience from other sectors will also be considered).
  • Strong organisational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
  • Good communication skills and excellent report formatting skills.
  • Proven experience as an Office Manager or in a business management role.
  • Knowledge of Office Administrator responsibilities, systems and procedures.
  • Highly proficient in MS Office (MS Word, MS Excel and MS Outlook, in particular).
  • Experience of dealing with payments and financial queries.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem solving skills.
  • Hold a full UK driving licence.

Salary: £TBC (competitive) (full time position)
